📅 Acuity automatic bookings · planned
When we enable automatic booking imports, this is where you will control them. Automatic importing is currently OFF; The booking inbox previews Gmail notifications.
Before go-live: export and verify a backup, identify and remove demo records only after your approval, then test and enable server-side processing. Switching this on in a future version must control the Supabase background job, not just this browser.
Gmail connection
Send customer emails from jon@corebikefit.co.uk.
Connect your Google Workspace account to send emails manually. You will sign in with Google; no Gmail password is entered here.
After connecting, open Review & report to send a customer email. Automatic sending is not enabled.
Email templates & automation
Rename templates, create your own messages, and configure timing, fit types and PDF attachments. These controls save template settings and sample drafts only; sending and Gmail monitoring are not yet connected.
Apply to these fit types
Default PDF attachments
Personalisation: {first_name}, {customer_name}, {bike_name}, {fit_type}, {appointment_date}, {report_title}, {booking_link}. These placeholders are replaced only when a draft is prepared with customer details.
Draft outbox (not sent)
Incoming customer replies
Planned: match incoming Gmail messages to customer email addresses, log relevant messages and create review tasks. Not connected yet. Your existing phone and Mac inbox will remain unchanged.
Questionnaire reminder timing
Upcoming appointments show when an invitation or reminder is due. Mark sent after sending the email, and mark completed once you receive the answers.
Reminder actions appear automatically while CORE is open. Opening a draft leaves the send decision with you.
Data backup & recovery
Export a dated copy of your current browser's customer directory, assessments and CORE settings. This is an additional backup, not a substitute for your Supabase backups.
Restore from backup (replaces local data)
Only restore on a test device or after confirming your Supabase backup. This replaces local CORE records and may subsequently synchronise them online.
Settings
Configure report templates, one-page sheets, section order and custom advice for each fitting service.
Walk-in enquiries
Record walk-in conversations here. Any follow-ups automatically appear in Management → Actions & follow-ups, and matched riders retain their history.
Record walk-in conversation
Record a conversation without creating a booking. A seven-day follow-up appears here and in management actions if the customer has agreed to be contacted and has not booked.
Existing rider conversations appear automatically in Rider Overview when their email matches. Follow-ups are managed through management actions.
Rider directory
Select a rider to see their appointment history. Each appointment has its own assessment, bike details and report. Open a customer to see their bikes, appointments and previous reports.

Appointment booking & completion
Set the status for this appointment so the CRM totals and day-ahead view are accurate. Changing the date or service in the assessment updates the overview.

📋 Actions & follow-ups
Follow-ups & annual reviews
Suggested actions calculated from completed appointments. Nothing is emailed automatically; review each draft before sending. Mark items handled to remove them from the outstanding list.
Dates use the recorded appointment date and Completed status. 21-day check-ins and 12-month reviews apply only to eligible fits. Consultation follow-ups remain in Things to do below. No automatic emails or live Acuity connection.
Things to do
All outstanding actions, including customer email follow-ups, appear together here.

Current cycling shoes
Saddle Fit / FIZIK Saddle Finding preparation
Free 30-Minute Consultation preparation

Read-only comparison with another appointment for this rider. Older assessments are never changed.

In the live system, request permission and securely store the image on the customer's permanent profile.
Injury & discomfort map
Tap a preset orange point (including left, centre and right for neck and back), or tap the body silhouette to add a custom point. Then describe the symptom below. Use the gender-neutral anatomical diagrams to mark injuries, discomfort, hands and wrists. Use the saddle map below for saddle contact discomfort.
Tap the saddle diagram to mark the affected contact area, or choose a saddle location below.
All your neck, shoulder and back presets are listed here, including both ankles. You can still tap a marker or add a custom location.
Visual physical assessment
No angles or measurements. Record what you see, including changes with repetition. The two new standing movement screens are observational, not diagnostic; confirm any bike-position changes during the fit.
Saddle comfort
Saddle trials and final saddle selection
Keep the original saddle above. Record each saddle you tested, then identify the final fitted, confirmed or trial saddle. If no alternative is recorded, reports use the original saddle.
Velometrik pressure maps — Complete & Balance only
Only include in a customer report if saddle mapping was actually performed. Upload screenshots taken from Velometrik. No direct software integration is configured.

Bike details & measurements
Bike details are optional for Frame Finder and Shoe Fit appointments.
Measurement reference drawing
A: diagonal from bottom bracket centre to saddle ALM (80 mm width point). Road/Gravel, TT/Tri and MTB each use their own reference drawing. MTB fields include cockpit, controls, suspension and dropper setup.
Customer’s bike photograph — main report only
Optional photo of this particular bike. Appears on the full customer report, never on the one-page measurement handout. Use appropriate customer images only when storage permissions and access controls are verified.
Based on the CORE Bike Fit master sheet's existing/new/difference approach. Enter figures in the same units for each row.
TT / Tri — ALM-referenced measurements
ALM is the saddle point at 80 mm width. Pad stack and reach here are measured relative to ALM, not the bottom bracket. Confirm pad reference point in notes.

Road / Gravel handlebar details
Bike safety & maintenance observations
Only appears in the customer report when a concern is entered. This is not a full mechanical safety inspection.
Pedals & cleats
Record pedal manufacturer, model, type, spindle option and pedal washers / spacers before and after the fit.
Foot & Shoe Profile
Use for standalone Shoe Fits or as part of a bike fit. All dimensions in millimetres, shoe size in EU sizing.
Existing cycling shoes
Shoe selection / purchase
Foot corrections & cleat adjustments
Record what was present before and what the customer leaves with, for each foot. Shim quantity and total height are separate.
Frame Finder
Standalone assessment: No existing bike or Bike Measurements form is required. Record target frame geometry and recommended components here. You can optionally complete Bike Measurements if you use a fit bike or have an existing bike to assess.
Frame Finder — fit jig coordinates
Record the target contact-point coordinates from your fit jig (mm). These are separate from frame stack and frame reach.
ALM is the point where the saddle is 80 mm wide. For setback and bar height, use your usual signed convention and record it consistently.
XY Bike Calc — geometry screenshots
Upload up to three bike geometry screenshots for this Frame Finder assessment. Label each candidate; they will appear in the full customer report.
Customer resources & practitioner links
Save your trusted practitioner, exercise and future CORE Bike Fit YouTube links. Select resources to include in the customer report.
Outstanding fit recommendations — current rider
A single view of components, saddle trials and shoe recommendations from the current assessment. These are not marked as completed automatically.
Master action list
One running list of outstanding jobs, with customer names, categories and due dates.
